Set your requirements
- Go to Settings › Booking & policies › Pet requirements.
- Click Add a vaccine. For dogs or cats with no vaccines yet, you can click Add the usual vaccines.
- For each vaccine, choose a level for each service you offer: Not required, Required, or Waiver OK, where a waiver on the pet’s record counts instead.
- Click Save changes. The new rules apply at check-in straight away.
Each species has its own list. If you have more than one location, the vaccines are shared and each location sets its own levels.
Keep each pet’s records up to date
- Open the customer and the pet. On the pet’s Overview, find Vaccinations.
- Click a vaccine and type its expiration date. The arrow beside a date copies it to the next vaccine.
- To record a waiver, click Waive instead and fill in Waived until. This shows when a service at your location takes waivers.
- To keep a copy of the record, click Add document and tick the vaccines it Covers. Then click Save changes.
Records customers send
Customers can send a photo or PDF of a record from your booking page, or from a link you send with Request records. AllPaws reads the vaccine names and expiration dates for your team to check:
- Go to Reports › Vaccinations › To review and click Review.
- Compare the dates AllPaws filled in with the record, and correct any that are wrong.
- Click Approve to save them (it says Approve and next when more are waiting). To turn a record down, click Reject, add a reason if you like, then click Reject record.
With the texting add-on, you can do the same with a record a customer texts. In Messages, click the syringe on the photo or PDF (Update vaccinations), or, if AllPaws has already read it, click Review beside Vaccine records. The conversation has to be linked to the customer first. Dates are only saved when someone on your team saves them.
What happens at check-in
- A pet can’t be checked in if a required vaccine is missing, has no date, or expires before the last day of the booking. A waiver counts only when every booked service that requires the vaccine allows one.
- Online booking doesn’t check vaccines, so customers can still send a request. The problem shows on the request and at check-in.
- When a pet can’t be checked in, Check In opens the reservation and shows which vaccines to fix. Enter the new date or a waiver, save, then check in.
- Reports › Vaccinations › Coming in lists pets arriving in the next week (you can change the dates) whose vaccines won’t cover their stay, and its Request records from button (it counts the pets) asks their owners for records in one go.
