Invoice and take payment
- After Finish check out, click Go to billing (or Draft Invoice on the reservation later). The Draft Invoice opens with the customer’s charges.
- Use package credits with Apply Package and add a discount with Add discount, then click Create invoice and go to payments.
- Under Take a new payment, choose how they pay: a card, a saved card, a card reader, Cash, or a payment type you’ve added, such as Check. Lower the amount for a partial payment.
- Click Charge, which shows the amount. Email receipt to customer sends a receipt; it’s ticked for you if your payment receipt email is on.
Each customer’s invoices, balance, store credit and deposits are on their Billing tab. There, Take payment settles several open invoices with one payment.
Card payments are optional
To take cards through AllPaws, go to Settings › Payments › Card payments, click Set up card payments and finish with Stripe, which takes about 10 minutes. You can add card readers on the same page. If you keep your own card machine, record those payments as Cash or as a type you add under Settings › Payments › Checkout options › Other ways customers pay.
Take a deposit
- Open the reservation, click Billing at the bottom to open it, then click Take deposit.
- Enter an amount or a percentage of the estimate, choose how they pay and click Charge, or click Text link instead to send a pay link.
When you open the reservation’s invoice, its deposits come off the bill for you, as long as they aren’t more than the bill. A bigger deposit waits under Use available deposits: click Apply, then refund the extra or turn it into store credit. When you cancel a booking that has a deposit, you first choose for each deposit whether to Credit, Forfeit or Refund it. You can also take a deposit while you review an online request, before you approve it.
Text a link to pay
Pay links need card payments through AllPaws, and the texting add-on to text them. On an invoice with a balance, under Text a link to pay, click Send link, then Send text or Copy link. The customer sees what they owe and pays by card without signing in, with a tip if you’ve set tip suggestions, and your card surcharge if you have one. Their card is kept on file unless they untick it. Set how many days links work under Checkout options › Payment links.
Good to know
- To refund a payment, open its menu and choose Refund, back to the original payment method or to store credit.
- Set tip suggestions, how tips are shared and any card surcharge under Checkout options.
- Creating an invoice can email it to the customer, if New invoice is on in Customer emails.
