Before you start
Paid memberships are charged to a card, so the location needs card payments set up. Free plans don’t need a card.
Create a plan
- Go to Settings › Services & pricing › Memberships and click Add a plan.
- Fill in its name, the description customers read when they join, and its price. Choose how it’s Billed: Every week, Every month or Every year.
- Under Pets, choose All of a customer’s pets or One membership for each pet. To have members sign an agreement, choose one of your forms under Agreement. It lists forms customers fill in that are turned on and have a signature, initials or an “I agree” box.
- Click Add credits for what each period includes, such as self-wash visits, and choose whether unused credits start again or carry over.
- Click Add a member discount for a percentage or an amount off the kinds of charge you choose.
- Click Save changes.
Enroll a customer
- Open the customer, go to the Memberships tab and click Enroll.
- Choose the plan, and the pet if it’s a plan for each pet.
- Choose how they pay: a saved card, Add credit card, or Customer completes by link. To send the link to pay and sign, tick email or text message (texts need texting).
- Click the button at the bottom. It says what will happen, such as Enroll & charge card or Save & send link.
The membership starts once the first payment is made and any agreement is signed. Customers sign agreements themselves, through the link. An enrollment the customer hasn’t finished is cancelled after 7 days.
Renewals and benefits
- Each period, AllPaws charges the saved card, creates the invoice and adds that period’s credits.
- If a renewal payment fails, the card is tried again three more times over the following week, and the customer is told. After the plan’s Days of grace, benefits pause until the invoice is paid, and a membership still unpaid 7 days after that is cancelled.
- Members get a Member tag with the plan’s name on their profile while their benefits are on. At checkout, their credits appear under Apply Package, marked Membership, and member discounts are listed beside Eligible for staff to click and add.
- To change a membership, open it from the Memberships tab. You can change the payment method or billing date, charge a payment that’s owed, or Cancel membership now, at the end of the period or on a date.
- Reports › Memberships shows active, past due, canceling and canceled members, and your monthly recurring revenue.
Customers can’t join on your booking page; your team enrolls them. Enrolling and changing memberships needs the Sell memberships permission, which new staff don’t have until you give it. Once a plan has members, how it’s Billed can’t change, and a new price is for new members only.
